Choose a defined cleaning scope

Deep cleaning needs a more precise brief than a request for a set number of cleaners. Identify the rooms or work areas, the visible condition of each surface, the permitted access window and any items that must remain protected. A one-time handover assignment should have an end condition; a periodic contract should explain what is checked at each visit.

Distinguish a cleaning-outcome enquiry from a manpower-only enquiry. In a cleaning-outcome brief, ask who agrees the method, provides materials and equipment, supervises the work and accepts the result. In a manpower brief, define the duties under your own operating instructions. The agreed quotation should make these responsibilities explicit. Give surfaces their own method review

Carpet, upholstery, sofas, mattresses and curtains need their material and manufacturer-care information identified before a method is agreed. Ask about a discreet compatibility test and drying or re-entry arrangements. Do not assume steam, dry cleaning and wet extraction are interchangeable.

Plan timing, coverage and commercial responsibilities

Provide the usable cleaning window, access constraints and required handover time. Avoid estimating staffing from floor area alone when surface condition, obstacles and operating restrictions differ.

The quotation should explain included areas, exclusions, materials, equipment, supervision, waste handling, travel arrangements and any rescheduling assumptions. Ask how a missed or rejected task is recorded and reviewed. A requested urgent date is not a confirmed emergency response commitment.

Keep cleaning and disinfection requirements clear

If disinfection or sanitization is requested, identify the facility's approved protocol, product instructions and acceptance authority. Do not treat a cleaning visit as a guarantee of sterilization, disease prevention or a numerical germ-removal result. Clinical, food-service and other controlled environments need the responsible facility team's instructions and suitable task evidence before work is agreed.
